What Happens to a Gifting Vendor During Festival Season
The month before Diwali is when gifting vendors make their money. It is also when everything slightly broken in how they run their business becomes very, very broken.
The month before Diwali is the most important four weeks of the year for most gifting vendors in India. Orders come in fast, customers want custom packaging, corporate clients ask for bulk deliveries, and the vendor is making and packing from early morning until late at night. For vendors who have their systems in order, it is a good hard month. For vendors running on WhatsApp and paper notebooks, it is a month that breaks them.
Week One: The Orders Start Coming
In week one, the orders are still manageable. Most come through WhatsApp. The vendor is keeping up. But the notebook is already getting messy. An order for twenty hampers came in at 11 pm, written on a page that already had something else on it. Three orders need the same ribbon variant, and the vendor is not sure exactly how much stock is left.
Week Two: The Stock Guess
By week two, the vendor has stopped counting ribbon and started guessing. They know they ordered more last week, but the exact quantity is buried somewhere in a message thread. A customer asks if they can still get the blue packaging for their twenty pieces. The vendor says yes. They are almost certain they have enough. On Friday they find out they do not. That customer is not happy.
Week Three: The Pileup
Week three is when the chaos becomes visible. Orders are coming in faster than they are going out. The WhatsApp thread is hundreds of messages long. Finished hampers have delivery dates written on sticky notes. One note falls off. That order goes out a day late. The customer was a corporate client who had promised their team a Tuesday delivery.
Week Four: The Exhaustion Calculation
By week four, the vendor is exhausted. They have made more revenue than any other month this year. They have also spent three weeks in a state of controlled panic. When they sit down to calculate what they actually made, after materials, the one refund for the order that went wrong, and emergency stock bought at higher prices, the number is smaller than they expected.
What Changes With the Right Tools
Vendors who go into festival season with digital inventory and order tracking have a different experience. Stock levels update as orders come in, so they know immediately when a variant is getting low. Orders sit in a system, not a chat thread. Delivery dates are visible without sticky notes. The chaos is still there because festival season is inherently chaotic, but the preventable mistakes do not happen. In a four-week sprint where every order counts, that is the difference between a good month and a great one.
